Understanding invoice statuses and payment tracking

To make it easier to track your payments, the Invoices experience now includes clearer statuses, helpful tooltips, and a detailed payment view.

🔖 Invoice and payment statuses

In the Invoices table, you’ll now see updated statuses that help you quickly understand what’s happening with each payment.

Transaction status

This shows the progress of your payment:

• Missing receipt – You need to upload your bank receipt to proceed
• Transaction in progress – Your payment is on the way and hasn’t been received yet
• Payment link being sent – A payment link is being generated and shared
• Completed – The payment has been successfully processed
• Failed – The payment could not be completed

Worker payment status

This shows what’s happening on the contractor side:

• Awaiting funds – We’re waiting to receive your payment.
• Payment scheduled – Funds received, payment will be sent on the selected date. Note: The platform will disburse the funds at 00:00 UTC on the scheduled date.
• Workers paid – Contractors have been successfully paid.

💡 Helpful tooltips

Each status includes a tooltip with more context and guidance.

For example:

• Missing receipt: “Please upload your bank receipt so we can process your payment.”
• Transaction in progress: “Ontop hasn’t received the funds yet. Arrival time depends on the payment method and transaction date.”
• Payment scheduled: “Funds received. Awaiting scheduled payment date.”

📤 Upload your receipt 

If your payment requires a receipt:

• You’ll see an Upload Receipt button directly in the invoice row when action is needed
• If the payment is already in progress, you can re-upload the receipt from the menu

⚙️ Actions available

You can manage your invoices directly from the table:

• View details – Access a complete breakdown of the payment

  

• Download invoices – Download individual invoices

  

• Download summary – Download the full payment summary

  

Note: The “Track payment” option will no longer appear once the payment is completed.

🔍 Invoice details view

Each payment group now includes a dedicated details view, where you can see:

• Payment summary
• Fees
• Payment method
• Total paid
• Contractor-level payment details

You’ll also be able to take actions like uploading receipts or downloading documents from this view.
