1. What is the new hiring flow?
The new hiring flow is an updated, streamlined process designed to make hiring contractors simpler and more intuitive. It guides you step-by-step, helping you make key decisions while ensuring compliance and flexibility.
2. What hiring options are available in this flow?
You can hire workers through two options:
- Contractors
- Employees
3. What are the main steps in the new hiring flow?
The process includes these key steps:
- Begin to add a new hire: start the process by clicking on New Hire.
- Select the hiring type: Contractor or Employee.
- Choose the worker’s country of residence: Ensures compliance with local laws.
- Decide on legal instruments/contract situation: Use an Ontop-provided contract or your existing signed contract. Note: This option may not be applicable to all clients. Please confirm with your account manager, as exceptions may apply for US-based clients.
- Define your relationship with Ontop: Decide if Ontop will act as a Service Provider or Payment Agent.
- Input worker details: Add name, email, and country of residence.
- Set compensation details: Specify the worker’s pay and currency.
- Choose coverage options: Select between Contractor Pro or Ontop Signs.
- Review and confirm the contract: Finalize and send it for signature.
4. Can I save a contract as a draft?
Yes, you can save a contract as a draft while completing the process. However, once the contract is generated, the draft option will no longer be available. The contract is generated the moment you click to review and see the PDF, or the moment you choose to sign later or invite someone else to sign.
5. Can I hire multiple workers at once?
Yes, the updated bulk hiring flow allows you to manage multiple hires in a single process. Check out our bulk contract creation guide for more details.
6. What if I already have a contract with the worker?
You can upload your own signed contract.
7. What happens after I click to review the contract?
Once you click on the button:
- The contract document PDF is displayed for review.
- The worker receives an invitation to review and sign.
8. Can I edit a contract after it’s been generated?
Yes, as long as it hasn't been signed by both parties (you and the worker).
9. What should I do if I encounter issues or have questions?
- Contact your account manager for personalized support.
- Refer to our help center article for a detailed walkthrough.
10. What if I don’t know some of the worker’s details yet?
You’ll need the worker’s name, email address, and country of residence to complete the flow. If you don’t have this information, you can save the contract as a draft until you’re ready.
11. Does the new flow support commissions?
Yes, commissions are available in this version of the flow.
12. What happens with legal coverage for Ontop Signs clients?
For Ontop Signs clients, there’s no change to your legal coverage, pricing, or any other terms. Everything remains the same, ensuring your workers are fully covered under the same conditions as before.
13. What are the differences between the Ontop Signs and Contractor Pro hiring models?
Contractor Pro is an innovative tri-party Contractor Pro Master Service Agreement that simplifies compliance by combining all legal obligations into a single, easy-to-manage contract signed by Ontop, the client, and the contractor. It reduces risk and improves enforceability, with Ontop taking an active role in ensuring better oversight, coordination, and communication.
Ontop Signs, on the other hand, includes full legal support, compliance management, and a direct contract signed between Ontop and the worker.
14. What does the “Coverage” section refer to when creating a contract?
The Coverage section allows you to choose the level of legal support and define Ontop's role in the contract.
15. Can I create contracts for people in Venezuela?
Yes, you can create contracts for workers residing in Venezuela. Once you select their country during the hiring flow, the platform will guide you through any relevant requirements or recommendations.
16. Can I create a contract based on tasks or hours?
Yes, you can set up contracts based on tasks or hourly work by adjusting the compensation terms and duration during the contract creation process using the Pay Per Task contract type.
17. What is Pay Per Task?
Pay Per Task is a payment model where contractors are paid per completed task instead of receiving a fixed salary or hourly rate. It’s ideal for short-term projects or deliverable-based work.
18. How can I modify my contractor’s start date?
If the contract hasn’t been signed yet, you can edit the start date directly in the flow. If it has already been signed, please reach out to your Account Manager to request a change.
