1. What is the onboarding stepper?
The onboarding stepper is a feature on your dashboard that guides you through five key steps to complete onboarding and successfully run your first payroll.
2. Who can see the onboarding stepper?
The stepper is visible only to clients, right after completing the basic KYB process.
3. Where can I find the onboarding stepper?
You can find it in the Dashboard section, right after the Welcome Screen.
4. When does the onboarding stepper disappear?
The stepper will disappear as soon as you attempt your first payroll payment, even if the payment fails.
5. What steps are included in the onboarding stepper?
The stepper includes the following steps:
- Complete profile verification (KYB): Verify your account.
- Add workers: Add at least one active worker (drafts don’t count).
- Configure and pay membership: Set up your membership and complete the payment.
- Set up your payment method: Choose and configure your preferred payment method.
- Set up a paylist and pay workers: Create a paylist and make your first payroll payment.
6. What happens if I don’t complete a step on time?
Each step has a recommended completion date to ensure you're ready for your first payroll. If a step is overdue, it will display a yellow warning icon and a red action button prompting you to act.
7. Can I skip a step?
No, all steps must be completed in order to proceed. Each step is essential for a smooth onboarding process.
8. How do I know if a step is complete?
The stepper updates in real-time:
- Incomplete steps will be marked as gray (Not started).
- Steps in progress will display blue or yellow status, depending on the action needed.
- Completed steps will turn green to indicate they’re done.
9. Can I change my first payroll date?
Yes! You can:
- Choose a custom date: Any date between today and three months from now.
- Use the contracts-based date: The system will automatically select the earliest payment date based on active contracts (drafts aren’t considered).
10. What if I miss the recommended date for a step?
You can still complete the step, but it’s important to act quickly to avoid delays with your payroll.
11. What happens in each step?
Here’s what you need to do for each step:
- Complete profile verification:
- Submit your KYB documents.
- Status options:
- Action required (yellow): Documents need to be submitted.
- In review (blue): KYB is being reviewed.
- Profile verified (green): Step completed.
- Add workers:
- Add at least one active worker through the New Hire flow. Drafts don’t count.
- Status options:
- Not started (gray): No workers added.
- Draft (gray): Draft contracts added but not completed.
- Pending (blue): Contracts are pending start dates or approvals.
- Completed (green): At least one active worker is added.
- Configure and pay membership:
- Set up and pay for your membership in the Membership flow.
- Status options:
- Pending invoice creation (gray): Membership invoice not created.
- Ready to pay (yellow): Membership invoice is ready.
- Payment in progress (blue): Payment is being processed.
- Completed (green): Payment is confirmed.
- Set up payment method:
- Choose and configure a preferred payment method (e.g., ACH, Credit Card, Ontop Balance).
- Status options:
- Not started (gray): No payment method selected.
- Pending approval (blue): Payment method is selected but not yet approved.
- Completed (green): Payment method is approved.
- Set up a paylist and pay workers:
- Create your paylist and make your first payment.
- Status options:
- Not started (gray): No paylist created.
- Ready to pay (blue): At least one paylist is ready.
12. What do the colors mean in the onboarding stepper?
- Gray: Not started or pending action.
- Yellow: Action required or overdue.
- Blue: In progress or waiting for approval.
- Green: Step completed successfully.
13. Are there any deadlines for completing the steps?
Yes, we recommend completing each step within the suggested timeline to avoid delays:
- KYB: 7 days before payroll date.
- Add workers: 7 days before payroll date.
- Membership: 6 days before payroll date.
- Payment method: 6 days before payroll date.
- Paylist: Varies depending on payment method, but typically 5 days before payroll date.
14. What if I don’t complete the onboarding in time?
If the intended payroll date passes without completing the onboarding, the stepper will display a red “Delayed” status. We recommend acting immediately to resolve this and run your first payroll.
