What’s new in the hiring flow?
The updated hiring flow offers a streamlined and guided process. It’s designed to simplify decision-making, enhance flexibility, and support bulk hiring when needed.
Key updates include:
- Step-by-step guidance tailored to your needs.
- Support for different types of contracts.
- An improved bulk hiring option for managing multiple hires efficiently.
How does the new flow work?
1. Start the hiring flow by clicking on one of the New Hire buttons
You can find them in the left navigation bar, in the dashboard or in the My Workforce section.
2. Select the hiring type
Start by choosing the type of worker you’re hiring: Contractor or Employee.
3. Choose the worker’s country of residence
Select the country where the worker will be providing services. This ensures compliance with local legal requirements.
4. Inform your current contract situation with the worker
Next, decide if you need a new contract from Ontop or if you’re using a pre-existing one:
- I need a contract: Ontop will provide ready-to-use legal templates.
- I already have a contract: Upload your own signed contract.
5. Choose your relationship with Ontop and the worker
Decide how you want to manage the hiring relationship:
- Ontop as a Service Provider: We partner with you to hire the contractor on your behalf, sharing the associated risk and liability. The agreement is signed by you, the contractor, and Ontop. You retain full control over the contractor’s scope of work, compensation, and payment terms, while benefiting from enhanced risk management through our globally compliant templates, which include liability coverage with caps to limit financial exposure. (You’ll be prompted to select Ontop Signs in step 8 of the flow.)
- Ontop as a Payment Agent: We handle payments on your behalf, ensuring smooth and secure transactions between you and your contractor for services rendered. The agreement is signed directly by you and the contractor, with Ontop remaining uninvolved in the direct relationship. You retain full control over the agreement, including terms and conditions, while also assuming any associated liabilities or legal responsibilities.
6. Input worker information
Provide key details about the worker, such as their name, email address, and country of residence.
7. Set compensation details
Specify how much the worker will be paid and select the preferred payment currency. This ensures a clear agreement on payment terms.
8. Choose coverage options
Decide the level of legal coverage you need.
- Standard: also known as Contractor Pro, Ontop and you share the risk by hiring the worker in a tri-party agreement.
- Ontop Signs: Ontop will hire the worker fully on your behalf. You won't sign directly with the worker.
9. Review and confirm the contract
- View a summary of the contract details.
- Click Review contract and sign to finalize and send the invitation to the worker.
- Alternatively, choose to sign later or invite another person to sign.
- You can also save it as a draft to finish editing the contract at a later moment and not send the invitation to the worker yet.
Note: Once the contract is generated, the option to save it as a draft will be disabled.
